JOB GOAL

Responsible for providing advanced, specialized, clerical support for the Human Resources and Educator Quality department, under direct supervision. Position is shared amongst different areas of the HREQ department, including but not limited to, recruitment, staffing, certification, employee evaluation, compensation, position control, and benefits administration.  

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.
  1. Manage E-Verify system while directing, training, and assisting school personnel in gathering all required documentation in timely manner.
  2. Responsible for opening and closing cases in E-Verify system as well as research and provide resolution for all Tentative Nonconfirmation (TNC) cases within established federal guidelines and timeframes.
  3. Set up, maintain, and accurately update records and conduct audit reporting for the E-Verify databases with all applicable employee-related data, and maintain related system information, as necessary.
  4. Provide customer service to employees and applicants, providing information and responding to basic inquiries regarding employment, certification, compensation, benefits, and other personnel related questions.
  5. Assist with the hiring process, including reviewing and posting job requisitions, confirming open allocations, reviewing applications for completeness, routine screening of applicants, ensuring all new hire documentation is received and completed, processing of background screenings, and prepare and review audit reports.
  6. Apply established guidelines to assign initial pay rates for review, and process changes in employee compensation requiring minimal analysis, including supplements, additional hours, etc.
  7. Provide input and assist with creating, modifying, and implementing department processes to improve efficiency and better serve stakeholder needs.
  8. Coordinate workflow and procedures between multiple teams with the HREQ department.
  9. Assist with the compilation of data for various compensation and certification related projects and prepare simple reports.
  10. Assist with administration of employee benefits, including but not limited to, benefit/enrollment applications and supporting documents; facilitate applicable payroll deductions; assist with processing and submission of retirement applications; disseminating Florida Retirement System (FRS) literature and basic information to employees; assist with processing, submitting, and distributing early retirement monthly benefits; verify and reconcile remittance of health premiums; identify inconsistencies in benefit data; and coordinate group insurance billing of employees on leave and retirees.
  11. Perform clerical and record keeping tasks to include word processing, filing, copying, scanning, data entry, answering phones, preparing reports, web content management, and sorting mail.
  12. Perform other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

  • Ability of strong attention to detail to accurately enter and maintain data in systems
  • Knowledge of general Human Resources field and office practices and procedures
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Operating knowledge of computer programs, including email, word processing, spreadsheets, and databases
  • Ability to organize, prioritize, manage, and carry out duties efficiently and within established timeframes
  • Ability to establish and maintain collaborative working relationships with all stakeholders

EDUCATION, TRAINING & EXPERIENCE

  • Associates degree in the field of Business Administration, Human Resources, or related field from an accredited institution
  • Two years’ experience of clerical, data entry, and customer service experience
  • OR
  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

PREFERRED QUALIFICATIONS

  • Bachelor’s Degree in the field of Business Administration, Human Resources Management, or related field from an accredited institution
  • Two years’ experience in Human Resources or Benefits

PHYSICAL REQUIREMENTS

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull or move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

While performing the duties of this job, the employee is required to sit, talk, and hear; stand and walk; use hands to finger, handle, or feel; reach with hands and arms. The employee occasionally lifts and/or moves up to 25 pounds. Specific vision ability required by this job includes close vision, distance vision, and the ability to adjust focus.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

General office equipment, including personal computers, fax machines, copiers, telephones, etc.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
