JOB GOAL

Responsible for accurate and timely reporting of student, staff, and financial data to the Department of Education in accordance with local, state and federal rules and regulations

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.
  1. Facilitate the verification, coordination, and transmission of data as required by the Department of Education (DOE) for all levels of reporting while establishing efficient processes, schedules, and timelines.
  2. Assist staff in downloading and retrieving required data and reports from local, state, and federal agencies that support district operations and that are required by law.
  3. Analyze data from multiple sources to ensure completeness, accuracy, and conformance to federal, state and district policies and procedures.
  4. Develop annual timeline for data collection to ensure reporting to appropriate agencies and within established reporting windows.
  5. Act as liaison between local, state, and federal agencies to ensure that data supplied by the District is compatible and maintained in accordance with required DOE database formats.
  6. Maintain an extensive knowledge of all federal, FLDOE, and local district reporting requirements, regulations, and procedures.
  7. Coordinate meetings and activities for the implementation of new/updated federal, state, and local district reporting and processing requirements with all stakeholders.
  8. Assist in overseeing the district’s data security and confidentiality of material maintained by the department.
  9. Maintain documentation used for FTE reporting by schools and district departments.
  10. Assist data entry operators and district staff with reporting criteria and data entry issues to ensure compliance with local, state, and federal requirements.
  11. Network with other school districts and educational associations for the development and implementation of new educational practices and processes to improve efficiency and effectiveness of district operations.
  12. Attend technical workshops and in-service trainings as required.
  13. Perform other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

  • Working knowledge of federal, DOE, and local reporting requirements, regulations, and procedures related to data management and transmission
  • Working knowledge of software systems and computer programs, including email, word processing, spreadsheets, and databases
  • Ability to establish and maintain collaborative working relationships with all stakeholders
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Ability to organize, prioritize, manage and carry out duties efficiently and within established timeframes

EDUCATION, TRAINING & EXPERIENCE

  • High school diploma or equivalent
  • Two (2) years in a computer data processing or data entry position
  • Experience training users on state reporting requirements
  • OR
  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

PREFERRED QUALIFICATIONS

  • Bachelor’s Degree from an accredited institution in a technology related field
  • Knowledge of the District’s current query software for the retrieval of student database information
  • Experience in and knowledge of DOE reporting requirements and regulations

PHYSICAL REQUIREMENTS

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull or move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.

Performance of the job will be evaluated in accordance with provisions of the School Board’s policy on evaluation of personnel.
