JOB GOAL

Under direct supervision, responsible for providing advanced, specialized, clerical support for the department with a focus on employee benefits, benefits administration, and/or risk management. Responsibilities include maintaining accurate employee data, processing related forms and documents, and providing customer service.

ESSENTIAL DUTIES & RESPONSIBILITIES

The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. These statements are not intended to be construed as an exhaustive list of all duties and responsibilities required of those in this position.
  1. Accurately set up, maintain, and audit benefit records; and maintain related system information as necessary.
  2. Verify the validity and accuracy of information and follow up orally or in writing with third party administrator and/or provider companies.
  3. Accurately calculate premiums, payments, refunds, and other adjustments for payroll processing.
  4. Provide customer service to applicants, employees, and retirees, providing information and responding to inquiries regarding benefits, payroll deductions/adjustments, and other related questions.
  5. Assist with administration of employee benefits, including the processing and submission of benefit enrollments; facilitating applicable payroll deductions; and coordinating group insurance billing of employees on leave of absence COBRA participants and retirees.
  6. Assist with the administration of retiree benefits, including the processing and submission of retirement applications; disseminating retirement literature and basic information; and verifying and reconciling remittance of health premiums.
  7. Assist with the administration of occupational health and risk management programs, including the processing and submission of workers’ compensation, property, and liability claims.
  8. Coordinate distribution of information to schools and district departments by maintaining communications with work site representatives; and provide benefits information and assistance to staff.
  9. 9. Responsible for resolution of benefit or risk management related issues.
  10. Perform clerical and record keeping tasks to include word-processing, filing, copying, scanning, data-entry, answering phones, preparing simple reports, and sorting mail.
  11. Perform other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

  • Operating knowledge of computer programs and ability to effectively use technology in daily work, including email, word processing, spreadsheets, and databases
  • Ability to accurately enter and maintain data in systems
  • Knowledge of benefits and/or risk management administration
  • Knowledge of general office practices and procedures
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
  • Ability to organize, prioritize, manage, and carry out duties efficiently and within established timeframes · Ability to establish and maintain effective working relationships with other employees
  • Ability to perform accurate mathematical calculations

EDUCATION, TRAINING & EXPERIENCE

  • Associate degree or equivalent (2 years of college coursework)
  • One year of related experience and substantial knowledge of benefit, risk and/or customer service experience
  • OR
  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position

PREFERRED QUALIFICATIONS

  • Bachelor’s degree from an accredited institution
  • Prior experience in human resources or benefits

PHYSICAL REQUIREMENTS

Sedentary Work:  Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

While performing the duties of this job, the employee is required to sit, talk, and hear; stand and walk; use hands to finger, handle, or feel; reach with hands and arms. The employee occasionally lifts and/or moves up to 25 pounds. Specific vision ability required by this job includes close vision, distance vision, and the ability to adjust focus.

WORKING CONDITIONS

Indoors and Outdoors: The worker is subject to both environmental conditions. Activities occur inside and outside.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be established by the District.
